LOCATION
Hybrid (primarily remote with occasional in-office hours in Bloomfield, NJ)

We’re looking for a talented Operations Associatte to join our team and support our growing business!
Position Details:
- Full-Time Schedule: Monday through Friday, 9 AM - 5 PM EST. Flexible schedule, including occasional evenings and weekends that overlap medical conventions and meetings.
- Location: Primarily remote, with occasional in-office hours for company functions and select job fulfillment tasks.
- Travel Requirement: Significant travel within the U.S. and Canada to support major conventions and meetings (30-50%).
Position Summary
As an Operations Associate, you will play a vital role in the success of our on-site interactive programs, including booth traffic initiatives that involve software setup, basic networking, and on-site team management. You’ll also oversee events, vendors, and client relationships to ensure smooth execution while keeping budgets and timelines on track.
Key ResponsibilitiesTechnology and IT Support
- Basic IT skills required, including computer proficiency, basic networking, and troubleshooting.
- Experience working with touchscreens, tablets, mobile devices, laptops, and printers.
- Experience with email management using Google workspace, Outlook, Microsoft Office/Google Suite.
Event Planning and Management
- Plan, manage, execute, and reconcile conventions and CME events.
- Serve as the key program manager, creating and executing strategic plans for each event.
- Develop and manage budgets, contracts, billing, and control documents.
- Coordinate communication plans, including attendee management.
- Provide on-site support to ensure client goals are met.
- Act as the primary representative during meetings to assist clients.
- Conduct program evaluations and manage follow-ups.
Logistics Coordination
- Oversee logistics for each meeting, including vendor, shipping, supplies, and venue coordination.
- Manage on-site setup and dismantling crews.
- Set up computers, printers, and networking equipment.
Qualifications
- Bachelor’s degree required.
- At least 2 years of relevant experience (we’ll consider exceptional candidates with highly transferable skill, IT skills, and related work experience.
- Proven ability to manage multiple projects and resources effectively.

- Self-motivated and able to work independently.
- Strong problem-solving skills with the ability to develop practical solutions for day-to-day challenges. You’re not the type to panic at the sight of a blinking router or a jammed printer. Whether it’s downloading drivers, wrestling with ethernet cables, or swapping a back router at an event, you can handle it.
- Excellent interpersonal and communication skills.
- Exceptional project management skills and ability to handle competing priorities.
Additional Requirements
- Flexible schedule, including occasional evenings and weekends.
- Ability to travel approximately 30-50% of the year.
- Must live within a commutable distance to Bloomfield, NJ, and Newark Airport.
- Dedicated home office with high-speed internet in a quiet environment.
Physical and Mental Requirements
- Ability to lift and carry up to 40 pounds.
- Capability to stand or sit for extended periods.
- Ability to travel via car, train, and airplane.
