RESPONSIBILITIES

Maintain accurate patient records, monitor appointment wait times, assist with appointment scheduling, ensure compliance with HIPAA regulations, support marketing strategies, manage office activities, up-sell treatments, and provide excellent customer service. Must be professional and adaptable.

We are seeking a full-time Front Office Coordinator to enhance patient experience at our Carrollton location, requiring excellent communication skills, adaptability, and the ability to meet clinic financial goals. Weekend availability is mandatory.

Job Description- Full Time Front Office Coordinator

We are growing and looking for an experienced full time Front Office Coordinator to join our team! Being Bilingual and/or having experience in Aesthetics Industry is not required, but a PLUS. This position is at our Carrollton location. 2 weekends per month are required for this position.

Requirements:

  • 1+ years of experience in Front Office/Customer Care Coordinator/Receptionist role in Plastic Surgery/Aesthetics/Dermatology/Med Spa (Will consider training a strong candidate that is eager to learn and able to adapt quickly)
  • High School Diploma or Equivalent Preferred
  • Customer Service 1+ year Required
  • Computer Skills Required
  • Bilingual a PLUS - Spanish preferably
  • Licensed as a Medical Assistant is a PLUS (not required)
  • CPR/BLS Required

Job Duties:

  • It is the duty of the front office coordinator to maintain accurate records and distribute patient chart information correctly to the medical staff while complying with HIPPA regulations.
  • This role is crucial to the overall patient experience and will require multi-tasking, focus and effective communication.
  • Monitor minimal wait times for appointments, offer extra accommodations when necessary.
  • Initiates inventory tracking and reporting to management in a timely manner
  • Must be able to adapt quickly and be trainable
  • Team player with "going over and above" & positive attitude is a must
  • Meet or exceed clinic financial monthly revenue goals through product revenue and client retention.
  • Assists with appointment scheduling via phone, email or text and resolves any scheduling issues quickly and professionally
  • Must remain professional in any setting that may represent NWME Aesthetics
  • Assists in creating new services/treatments
  • Skilled in up-selling appropriate treatment options to facilitate necessary treatment plans with patients as necessary
  • Collaborates with clinic management to ensure marketing strategies are being executed and monthly goals are met.
  • Remain up-to-date with accurate product and treatment education for patients and attends required staff developmental meetings.
  • Ensures that all daily opening and closing duties are performed thoroughly (opening and closing duties will be provided for agreement and sign-off)
  • Willingness to network and post via social media platforms weekly
  • Familiarity with Facebook, Instagram, Tiktok, Canva, Email Marketing, Aesthetic Record a PLUS
  • Help meet monthly clinic treatment and retail goals. Has to be confident and knowledgeable in retail sales, goal oriented and driven
  • This position pays hourly plus free Laser Hair Removal and other treatments. Discounts on other aesthetic treatments provided
  • Performing front desk tasks - managing office telephone systems, including answering calls and returning messages, etc in a professional and timely manner
  • Appointment scheduling, maintaining communication to follow up with patients and confirm future appointments in a timely manner
  • Coordinating daily office activities, greeting patients, checking patients in/out for appointments
  • Prepping patients and rooms for procedures
  • Must be self starter and able to work independently

Job Type: Full-time

Pay: From $18.00 per hour

Expected hours: 35 – 40 per week
