SHORT DESCRIPTION

The Pharmacy Manager is responsible for leading the pharmacy team, managing operations, and ensuring compliance, while focusing on financial performance and improving patient healthcare outcomes.

POSITION SUMMARY

The Pharmacy Manager (PM) is a critical position that has a substantial impact on our patients, providers and employees. The individual is responsible for the financial, clinical, and quality of pharmacy services and will oversee the daily operations of the business, including formulating and dispending medication, servicing patients and leading team members. The primary focus of this position is the overall responsibility for pharmacy operations, patient satisfaction and loyalty, employee engagement, regulatory compliance, and financial performance. This position oversees the pharmacy to ensure they are in full compliance with all applicable laws, regulations, and OptioRx policies and procedures. The PM positively and professionally responds to patient, provider and employee inquiries and needs to best support patient healthcare outcomes, while fostering a fulfilling and rewarding work environment. The PM is responsible for implementing corporate directives and initiatives, including implementation of policies, procedures, and communication necessary to operate a profitable national program through their individually managed location.

ESSENTIAL FUNCTIONS

Must be the Pharmacist in Charge of associated location(s).

Own and manage the P&L as well as the budget and growth plans while overseeing day-to-day operations and direct level supervision to Pharmacist(s), technicians, and ancillary personnel. Own and manage the national program P&L attributed to the pharmacy location by ensuring appropriate management of the program as directed by national program directors or division managers.

Effectively manage all pharmacy operations and financial objectives for the Pharmacy. Work closely with the Divisional Manager and other OptioRx departments (i.e., Sales and Biz/Dev, Finance, Compliance, HR) to ensure that site objectives are exceeded. Actively supports current and implementation of new sales and marketing initiatives and directives.

Drive financial goals and operate the Pharmacy consistent with the budget and goals assigned. Measures include but not limited to sales, labor, gross margin, inventory, quality, patient safety, adherence to corporate standards of practice and overall profitability.

The PM is a steward of company’s resources, financial and otherwise. The PM must act in the best interest of the company to efficiently and ethically deploy the company’s resources to improve the performance of the business.

The PM must ensure procurement authenticity of products, services, and supplies purchased by the pharmacy in accordance with the approved distributors and vendors designated by the procurement department at all times.

Effectively ensure prescription orders are dispensed accurately, efficiently, and consistent with OptioRx Policies and State and Federal laws and regulations.

Oversee and optimize third party adjudication and corresponding documentation for proper billing practices. Maintains awareness of third-party pharmacy business opportunities and assures proper administration and implementation of third-party pharmacy systems and procedures to lessen payment rejections. Resolves third party rejection problems promptly and resubmits rejected claims for payment on a timely basis.

Attend and actively participate in all OptioRx and related meetings; specifically weekly PM and monthly location business reviews. Promptly implement directives discussed in such calls to ensure the site effectively follows the corporate cadence with discipline and rigor.

Effectively supports and implements all company initiatives, directives and related priorities, including use of technology, tools, and resources provided to manage communication, secure data and access to company systems, and compliance with HIPAA, Privacy, and Data Security Provisions.

Management of the entire pharmacy team ensuring scheduling is consistent with the business needs and standards set by OptioRx. Maintain proper staffing and thoughtfully plan for any future staffing needs.

Workforce planning and oversight. Provide regular coaching and feedback to the team and ensure performance reviews are completed annually. Focus on team member engagement and development.

Assuring results, the General Manager must deliver through others. Effective communication background, ability to keep teams on task, focusing on specific goals and targets.

Lead by example ensuring that all pharmacy staff understand and consistently provide a relentless obsession with patient experience and provider relations. Enhance and develop team and create an operating model where the core focus is a strong service culture.

Integrate into the company's culture and ensure a positive work attitude and environment that enables the business to attract, retain and motivate high performing employees.

Responsible for managing the safety, efficiency, and integrity of operations, ensuring compliance with all OptioRx Policies and Federal, State, and local laws governing the practice of pharmacy. The PM must ensure appropriate reporting and disclosures of non-compliance are brought to the corporate management team’s attention and continues to escalate through chain of command if a resolution is not achieved.

Other duties as assigned by OptioRx. Ensure OptioRx has proper operational controls, and administrative and operational reporting procedures: implement business strategies, plans, processes, and procedures to ensure best practices and maximize operating efficiencies.  Six-Sigma mentality to drive operational performance and efficiency. This includes development and deployment of RACI matrix, documentation of process and training necessary to support swift business continuity in case of employee turnover.

Be the leader of the business both internally and externally – solicit/value employees’ perspectives and recruit talent while building relationships with providers and referral sources.

QUALIFICATIONS

  • Education and/or Training:

Bachelor of Science in Pharmacy or Doctor of Pharmacy Degree Pharmacy

Certified immunizer, preferred, or willing to become an immunizer upon request

Formal specialty training/certifications (i.e., CSP), an advantage

  • Professional Experience:

Proven track record in leading, coaching, building successful teams, and developing talent

Experience partnering with providers, pharma, and referral sources to increase prescription revenue and profitability

Deep understanding working with PBM and payers in prior authorizations, third party billing and responding to audits

Experience performing wellness services such as immunizations, testing, and other clinical services

Commitment to continuous process improvement, background in Lean Six Sigma principles preferred

Experience in core elements of pharmacy and business operations, including purchasing, inventory mgt, customer service, financial management, operational excellence, and clinical programs

Experience hiring, training, and developing team members

Strategic and growth-oriented mindset

Demonstrated ability to influence, negotiate and have a sales/growth perspective are key requirements for success in this role

Operates with the highest level of ethics, compliance, professionalism, and integrity

Experience in establishing accreditation through URAC, ACHC or other accrediting bodies and history of maintaining standards established by the corresponding accreditation agency

  • Licenses/Certifications:

Valid and active pharmacist license in corresponding state(s)

  • Specialized Skills:

5+ years of previous pharmacy General Manager experience

Firm understanding and experience with pharmacy accreditation, compliance, and remediation; may be responsible for the implementation and/or maintenance of ACHC, URAC, PCAB or related accreditation(s)

Experience with clinical reporting and oversight, ability to partner with pharma and payers to ensure optimal clinical outcomes for high touch patients

Extensive knowledge of PBM contracts, reimbursement, compliance, and ability to navigate audit appeal/defense process

Knowledge and experience in retail and specialty pharmaceutical supply chain and competitive landscape

Experience in various pharmacy services; i.e., compounding, retail, specialty, and home infusion pharmacy

Experience reporting on quality and performance indicators, such as revenue, margin, capture rate, patient satisfaction, quality, prior authorization approval rate, time, and turnaround time

Success in engaging in external collaborative organizations such as Asembia, National Association of Specialty Pharmacy and Academy of Managed Care Pharmacists

Experience developing symptom management strategies as well as facilitating timely medication delivery, monitoring, and reporting adverse drug reactions

  • Technical Skills: Underlying skills that enable an employee to perform effectively on the job

High degree of proficiency MS Office Suite (Excel, Word, PPT), Outlook & Internet applications

Must have superior communication skills, both written and verbal, and experience with communication at an executive level, small to midsize groups

Strong analytical, prioritizing, interpersonal, problem-solving, budgeting, project management (from conception to completion), & planning skills

Experience working with project management tools, such as Asana or Monday. Com, is preferred

  • Successfully pass background check prior to employment
