Project Coordinator
Job Summary
Schedule jobs when contracts are signed, collect deposits, interface with the Production Supervisor to schedule jobs, interfacing with the Sales Manager to support continued sales growth, interface with customers to address any questions and concerns. Confirm job start dates with customers and ensure collection of project payments.
Tactical Responsibilities of the Scheduling & Billing Coordinator
- Manage the customer workflow process from contract signature through job closeout
- Collect deposits, schedule jobs with guidance from the Production Supervisor
- Provide Sales Manager with weekly update of any customers which have not paid deposits.
- Notify the Sales Manager immediately of any customers that insist on an earlier schedule. Work with Sales Manager and Production Supervisor to find a solution.
- Notify the Sales Manager immediately of any customer that requests a cancellation.
- Ensure CRM is up to date with customers in the correct workflow stage.
- Collect & record deposits
- Prepare job packets.
- Ensure timely customer payments are received.
- Field all calls from Foremen and Production Supervisor
- Manage customer complaints/issues.
- Report issues to Owner that cannot be resolved by the Production Supervisor or Sales Manager.
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
Expected hours: 40 per week
