SHORT DESCRIPTION

The Property Manager is responsible for maximizing asset returns, maintaining occupancy, ensuring compliance with housing programs, and providing a superior living experience for residents while managing daily operations and marketing strategies.

Description:

Basic Job Function(s):

  • Responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the Company's mission, vision, objectives, policies and procedures.
  • Responsible for conversion of telephone and walk-in prospects to leases, resulting in maintained and increased occupancy, and the inherent responsibility to effectively communicate to existing residents and establish a successful renewal program.
  • Experience with VA Housing compliance programs and Procorem software required.

Relationships:

  • Reports to Regional Property Manager.
  • Supervises on-site personnel within defined limitations.
  • Maintains relationships with peers and all other departments within the company.
  • Maintains relationships with suppliers, vendors, and others serving the Company or the property.
  • Prepare and process resident service requests.
  • Assist with resident problems and complaints concerning rent payments, and service requests, etc.

Duties and Responsibilities:

Maintaining the physical asset:

  • Supervises employees and contractors within defined limitations.
  • Assures adherence to specifications (contractual; operations manual).
  • Conducts a minimum of weekly site inspections of building interior and exterior.
  • Makes recommendations for physical repairs and/or replacements.
  • Ensures observance of safety regulations.

Marketing and Leasing:

Regularly posts and updates online marketing sources.

  • Regularly evaluates market conditions and property comparables.
  • Implements marketing plan with Regional Property Manager.
  • Properly screen potential residents’ applications, credit and background reports, and other documentation according to company policy and procedure.
  • Respond effectively to telephone, email, and walk in inquiries to generate prospective resident visits and tours the property.
  • Show and demonstrate apartments, utilizing sales skills to demonstrate market ready product and availability to close prospects.
  • Follow-up with prospective residents until you are told no or they find something else.
  • Input telephone, email and walk-in traffic by entering traffic in Rent Manager.
  • Perform move-in and move out inspections per company guidelines.
  • Review Welcome packet and lease documents with new resident in a timely and professional manner.

Makes recommendations to improve marketing and leasing programs and rent management:

  • Supervises rent collection in accordance with policies and procedures.
  • Approves and monitors rental rate recommendations for new leases and renewals based on current market information.
  • Coordination of day-to-day activities of the property, in accordance with the standards established by supervisor.

Financial reporting and control:

  • Adheres to annual property management plan and operating budget.
  • Reviews all monthly financial reports.
  • Process all invoices in property management software using correct GL codes per company policy and procedure.
  • Approves expenditures in accordance with Company policy and procedures and approval limit of $___200.00___.

Administration:

  • Ensures property files and records are maintained and up to date.
  • Continually improves management and technical skills.
  • Spends agreed-upon percentage of time on obtaining market knowledge, community relations, and asset evaluation.
  • Properly process monthly legal and collection accounts and maintain documentation for filings and follow up.
  • Responsibility for weekly/monthly reports to include receiving and posting of rents.
  • Assist in maintaining office clerical, filing and record keeping systems. Identify and strive to meet the resident’s needs.
  • Prepare newsletters and promotion flyers for supervisor approval before distribution.
  • Planning community activities and events.

Accounting policies and procedures:

  • Maintain account records and make bank deposits.
  • Help to prepare weekly and monthly reports as required.
  • Help to prepare legal action for evictions, as necessary.
  • Collect, record & deposit rental payments, application fees, security deposits, etc.
  • Responsible for properly handling property funds, seeking proper approval, being mindful of funds spent, ensuring best financial practices.
Requirements:
