Job Description: Property Manager (200+ Units)

PEG Property Group is a growing company headquartered in beautiful Provo, Utah. We specialize in the management of multi-family and commercial properties. This is a full-time position that is responsible for the successful marketing, leasing, and retention of their assigned communities.

In this position, employees must be able to demonstrate firsthand experience to execute in these key responsibilities, work behaviors and characteristics:

Key Responsibilities with direction from the regional or division president:

Resident Retention:

  • Proactively manage resident concerns, complaints, and maintenance requests to create a positive living environment.
  • Implement resident retention programs and handle lease renewals with a focus on maintaining high occupancy.
  • Improve communication between residents and management through active engagement and efficient processes.

Property Maintenance:

  • Conduct regular property inspections to ensure all common areas, amenities, and units meet high-quality standards.
  • Collaborate with the Maintenance Supervisor to oversee large-scale maintenance projects and preventative maintenance programs.
  • Manage vendor relationships to ensure timely completion of unit turns, repairs, and improvements.
  • Ensure compliance with safety regulations and internal standards set by the Quarterly Audit Checklist.

Financial Management:

  • Oversee the collection of rents and implement strategies to manage delinquencies and evictions when necessary.
  • Process and manage invoices, track expenses, and monitor financial performance against the budget.
  • Work with the leadership team to review financial reports, adjust operating expenses, and set financial goals.
  • Conduct regular audits of resident charges to ensure all revenue is accurately accounted for.
  • Prepare month-end reports, reconciling accounts, and ensuring all financial metrics are aligned with property goals.

Lease Management:

  • Lead the leasing process, including screening potential residents, processing applications, and managing lease agreements.
  • Conduct routine audits of lease files to ensure accuracy and compliance with company policies.
  • Manage lease renewals and ensure that vacant units are filled efficiently, minimizing downtime.

Marketing/Leasing:

  • Develop and execute marketing strategies to maintain a high occupancy rate and attract new residents.
  • Oversee the property’s online presence, including the website, social media, and ILS listings, ensuring accurate and appealing content.
  • Monitor lead conversion rates and adjust leasing strategies to maximize results.
  • Coordinate community outreach efforts and maintain positive relationships within the local market.
  • Ensure marketing action plans are executed monthly/quarterly, including regular updates to market surveys and marketing materials.
  • Complete outreach monthly, or more, if needed.

Team Leadership:

  • Manage a team of leasing and maintenance staff, ensuring all members are aligned with property goals and company standards.
  • Conduct regular performance reviews, provide ongoing training, and promote a positive work culture.
  • Delegate tasks efficiently, especially during high-demand periods such as resident move-ins or community events.

Administrative Duties:

  • Maintain accurate property records, including leases, maintenance logs, financial reports, and legal documentation.
  • Ensure all documentation related to payments, repairs, and resident information is up-to-date and filed appropriately.

Emergency Response:

  • Lead the response to emergency situations, including water leaks, electrical outages, or safety concerns.
  • Develop and manage emergency preparation plans, ensuring all staff are trained and ready to act in case of a crisis.

Vendor Management:

  • Negotiate contracts with vendors and service providers, ensuring cost-effective and high-quality services.
  • Supervise the work of vendors to ensure compliance with contracts and completion of tasks to the highest standards.

Property Inspections:

  • Complete daily checklists for property cleanliness, unit readiness, and amenity upkeep.
  • Conduct quarterly inspections of all units, ensuring maintenance needs are met and units remain in compliance with internal standards.
  • Ensure that property conditions are regularly documented and issues are addressed promptly.

Resident-Focused Community Engagement:

  • Foster a vibrant community by organizing resident events and activities, enhancing the living experience.
  • Actively engage with residents to gather feedback and implement improvements based on their needs.

Legal Compliance:

  • Stay informed of property management laws and regulations at the local, state, and federal levels.
  • Ensure compliance with all legal requirements, including Fair Housing laws, and take appropriate action when necessary.

Additional Requirements:

  • Proficiency in Yardi Suite of products and Microsoft Office applications.
  • Knowledge of Fair Housing regulations and other industry standards.
  • Ability to work weekends.
  • 5 years of real estate marketing and/or leasing experience.
  • Property management industry certifications or college degrees preferred.

Physical Characteristics:

  • Office-based with occasional property tours and resident interactions.
  • Valid driver’s license and insurability for company vehicles.
  • Ability to walk moderate distances across the property and climb stairs as needed.
