Summary of Position:
The Publications Operations Manager (POM) provides operational support and management for the publication activities of professional associations. This position is hands-on and involves working directly with association leadership and stakeholders to coordinate deliverables and ensure the successful operation of their publications. The POM is independently responsible for client success, with guidance as needed from their assigned Senior Operations Manager (SOM).
Performance Evaluation:
Formal evaluations will be conducted in six-month intervals by the SOM to assess job performance.
Responsibilities and Duties:
- Understand the structure of IEEE, keeping current on all.
- Understand operational unit (OU) officer, board, and committee structure(s).
- Record minutes during appropriate meetings and proactively follow up on action items.
- Maintain a working knowledge of Robert's Rules of Order.
- Have a thorough understanding of OU Governing Documents.
- Develop and foster relationships with sponsor leadership, editorial boards, and publication committees.
- Support the publications, advocating adherence to schedules, budgets, and quality standards.
- Serve as the primary point of contact for publication support related inquiries and activities.
- Support the maintenance of publication websites, ensuring accuracy, accessibility, and currency.
- Track key performance metrics for publications and provide regular updates to stakeholders.
- Coordinate publication marketing efforts, including the development of promotional materials and campaigns.
- Oversee the creation and distribution of publication update emails and other communication vehicles.
- Organize and manage meetings for editorial boards, committees, or other publication-related groups, including agenda creation, minute-taking, and action item follow-up.
- Provide training and support for association leaders and volunteers engaged in publication efforts.
- Troubleshoot and solve issues related to publication processes, offering solutions to improve efficiency and effectiveness.
- Maintain a thorough understanding of relevant industry standards, trends, and best practices for professional publications.
- Actively identify opportunities for process improvements and innovation in publication operations.
- This role will not require regular travel. Sporadic travel may be inclusive of annual company retreats, department retreats, client meetings, etc. as needed. Maximum travel will be less than 10%.
- Performs other duties as assigned.
- Attend and participate actively in Unit Workshops.
- Attend Unit Meetings to participate in items of importance and process/systems improvement.
- Attend and participate actively in All-Company meetings.
- Assist in the training of other Unit Members, as requested.
- Maintain accurate time reports according to company policy, to track support requirements for each client.
- Work independently in an efficient manner.
- Maintain a response time of 24 hours (within the workweek) for clients and co-workers.
- Actively maintain a solutions-oriented mindset with all responsibilities and activities.
- Actively identify issues that require improvement both within the Unit and the company-at-large, and assertively address these issues with leadership.
- Maintain respect toward company leadership and fellow team members.
- Communicate openly and with intention with company leadership, team members, and clients.

Required Experience, Skills, and Education:
- Bachelor's degree in business administration, management, communications, or related field. Or relevant combination of education and experience.
- Minimum of three years of experience in publication management, professional association support, or related roles.
- Strong project management skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Demonstrated problem-solving ability and resourcefulness.
- Familiarity with social media and digital marketing strategies.
Desired Experience, Skills, and Education:
- Proficiency in using publication tools and platforms (e.g., manuscript submission systems, content management systems).
- Experience working with professional associations or nonprofit organizations.
- Knowledge of academic or technical publishing processes.
- Certification in project management (e.g., PMP, CAPM).
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Compensation and Benefits:
- Compensation is commensurate with skills, education, and experience starting at $56,000/year.
