Real Estate Admin/Transaction Coordinator

Select Home Buyers is adding a real estate admin/transaction coordinator to our fantastic team! Our transaction coordinator will manage all administrative aspects of transactions from contract to close, including coordinating with multiple parties, ensuring proper documentation, and providing excellent service throughout the process. Our transaction coordinator ensures offers are approved and the sale process moves smoothly for everyone. The ideal candidate will have experience in this role and will truly enjoy working in a dynamic, people-focused environment.

What You Will Do

  • Administrative Support and Operational Delivery:
  • Manage and organize paperwork, documents, and files related to property transactions.
  • Ensure all necessary documents are complete and accurate for property transactions.
  • Handle phone calls, emails, and other communication on behalf of the real estate team.
  • Coordinate and schedule property inspections, property showings, appraisals, meetings, and other necessary appointments.
  • Proactively identify and address potential issues or delays in the transaction process.
  • Implement and maintain best practices to streamline processes and improve efficiency.
  • Client Communication:
  • Respond promptly to client inquiries and maintain a professional and positive demeanor.
  • Assist and educate clients on basic real estate procedures.
  • Assist in drafting and preparing communication, including emails, letters, and property listing descriptions.
  • Coordinate and confirm property showings with clients and other agents.
  • Marketing and Listing Management:
  • Assist in creating and updating property listings on various platforms.
  • Coordinate the creation and distribution of marketing materials.
  • Manage social media accounts and assist in online marketing efforts.
  • Stay current with real estate industry trends, laws, and best practices.
  • Provide the real estate team with relevant data for client presentations and property evaluations.
  • Database Management:
  • Maintain and update client databases and CRM systems.
  • Track and organize leads, contacts, and client information.

Experience

  • Background and knowledge of the real estate industry, transaction coordination, titles, and mortgages (required).
  • Direct client interaction and customer service experience (required).
  • High school diploma or GED (required).
  • College degree (preferred).

Skills

  • Motivated to serve people and provide excellent customer service.
  • Ability to work independently and as part of a team.
  • Candidates should be organized and able to expertly communicate written and verbal information to clients accurately and clearly.
  • Strong ability to multitask and remain organized.
  • Attention to detail and strong problem-solving skills.
  • Knowledge in marketing and customer communication.
  • Experience with professional social media postings (multiple platforms).
  • Proficient in office software (e.g., Microsoft Office, Excel Google Workspace).
  • Applicant must reside less than 35 minutes from our corporate office - Lebanon, PA.

Details

  • Compensation $65,000-$75,000 annually (salary + monthly bonuses)
  • Full-time / 40 hours per week
  • Monday-Friday 9:00-5:00
  • Work location: in office (Lebanon, PA)
