Summary

Guardian has an opportunity for a Part-Time Receptionist to join our experienced and committed team at Windsor Square Retirement Community!

Windsor Square is a 95-unit Senior Independent Living Community in Marysville, WA. Services include dining, recreational activities, housekeeping, maintenance and transportation.

For this position, we are seeking a dynamic self-starter who enjoys working with others and excels in a fast-paced, customer service oriented environment. The ideal candidate will be highly organized, professional and communicative. A minimum of one year of experience working in a high-level customer service environment is preferred.

This position will support the Executive Director’s efforts to ensure that the property meets all ownership goals and objectives, to enforce Guardian Management policies and procedures, and to adhere to Fair Housing and Landlord Tenant Laws at all times. A Receptionist is responsible for providing outstanding customer service to the residents, coordinating communication between departments and between residents and Executive Director, serve as a contact person for residents’ family members or legal representative, and assist with facilities/maintenance tasks during off-peak times (weekends).

Schedule: 19-29 hours / week, Tuesday - Saturday 5:00PM - 10:30PM or Sunday - Thursday 5:00PM - 10:30PM

Compensation: $18-22 / hr + benefits!

Qualification Requirements:

  • High school diploma or GED.
  • At least one year of experience working in customer service, sales, marketing or a related field.
  • Excellent attention to detail and organizational skills.
  • Strong mathematical skills.
  • Ability to speak, read and write in English.
  • Ability to communicate effectively and in a timely manner; both verbally and in writing.
  • Able to complete company training requirements for this position within pre-determined deadlines and attend other training sessions as required.

Essential Functions:

  • Represent Guardian in a positive and professional manner at all times.
  • Support Executive Director’s efforts to assure that the company’s efforts fully meet and exceed property management obligations.
  • Work in compliance with all local, state, and federal laws (Fair Housing, Landlord Tenant Laws, OSHA, etc).
  • Coordinate communication between all various departmental functions ensuring an efficient flow of operations and compliance.
  • Interacting and assisting with residents: recording work orders, referring questions/requests to appropriate administrative person or department.
  • Communication between staff, residents, family members, and management including arrangement, follow through, and billing for special services for residents, including work orders, transportation needs, personal care, housekeeping and all other resident services offered as part of the service package.
  • Serve as a contact person for members of each resident's family and other designated legal professionals as assigned in regards to resident files and accounting.
  • Walk building to assume security, lock doors & close office in evening.
  • Under direction of the Executive Director or Marketing Director, assist as back-up for tours, marketing, and some social events.
  • Exercise professional judgment in assessing and effectively communicating any changes in resident's behavior or physical condition in a timely fashion and accurately and completely document all such changes within the required documents to all appropriate staff and other legal representatives for each resident.
  • Under direction of the Executive Director or Marketing Director, maintain accurate and appropriate records for each resident, prospective resident, and employee, treating all as confidential.
  • Represent Guardian Management and the elder community in a professional and ethical manner in the community.
  • Assist with basic maintenance tasks (toilet flow, cleaning, recycling, etc.) as necessary during off-peak times.
  • Follow confidentiality guidelines for all resident, property, owner, and Guardian information at all times.
  • Accurately record time worked, adhere to time keeping guidelines including approving site staff time records on a daily basis.
  • Establish and maintain collaborative working relationships between departments and with coworkers.
  • Constantly strive for improvements in work process and results to better meet resident needs, ownership goals and objectives, and company standards and expectations.
  • Other duties as assigned by the Executive Director or Portfolio Manager.
