Job Overview
The Sales & Marketing Administrator plays a critical role in ensuring smooth workflows, optimizing processes, and delivering a seamless client journey from lead generation to onboarding.
In this role, your organization and communication skills will help position SugarShot as a dynamic and reliable technology partner, creating meaningful and memorable experiences for both prospects and clients.
Key Responsibilities
Pre-Sales Support
- Manage outreach efforts, including calls, emails, and mail campaigns.
- Respond to inbound inquiries and schedule discovery calls.
- Coordinate the delivery of marketing materials for leads and campaigns.
- Work with the Sales Manager to track and improve lead response times.
Sales Operations
- Schedule and confirm meetings for sales and engineering teams.
- Maintain accurate records in Hubspot and internal systems.
- Prepare quotes and assist in creating compelling proposal presentations.
- Track and update deal progress, ensuring correct deal values based on products and Statements of Work (SOW) are reflected.
- Calculate SQL (Sales Qualified Lead) deal size accurately, as this metric is critical for evaluating marketing spend efficacy.
- Organize sales process meetings and gather necessary documentation for deal closures.
Marketing Support
- Monitor and report on lead metrics, including MQLs (Marketing Qualified Leads) and SQLs (Sales Qualified Leads).
- Help maintain data accuracy in Hubspot and SharePoint.
- Create and send marketing materials using HubSpot templates, including zero-day notices, new product announcements, and SugarShot updates.
- Collaborate on case studies, social media campaigns, and other marketing initiatives.
- Assist with campaign analytics and scheduling.
Client Onboarding
- Coordinate initial client meetings and internal kickoff sessions.
- Coordinate the handoff process between sales, engineering, and customer success teams.
- Attend onboarding calls to ensure smooth transitions.
Requirements
- 3+ years of sales or marketing experience.
- Proficiency in CRM tools like Hubspot and Microsoft Office applications.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills, with confidence engaging clients via phone or video.
- Ability to thrive under pressure and meet deadlines.
