Position Overview:
Effectively and efficiently performs all clerical and administrative support duties as assigned in a timely and professional manner to ensure the division functions optimally. These responsibilities may include one or all of the categories of duties identified below, and some may change with short notice due to business needs and constraints.
General Responsibilities and Duties: (Including but not limited to)
- Execute and/or participate in all Sales Administration functions for the Division as delegated by the Marketing Manager and V.P. of Sales and Marketing.
- Uphold a high level of organization.
- Represent Ashton Woods in a professional manner and be knowledgeable of all Ashton Woods Communities.
- Act as a liaison between division initiatives and neighborhood level functions.
- Demonstrate an understanding and excitement regarding Ashton Woods’ outlook. This includes the opportunity to be a part of a team that is building a strong foundation of values and culture, and the ambition to grow the company into greatness.
Job Starts Responsibilities and Duties:
- Website updates for price changes, photos, descriptions and IFP’s
- Schedule QMI S10 photos
- Schedule Matterport photography
- Price sheet updates
- Grand Opening support, set up (sales center set-up/installs/trash service/ price sheets/signage /supplies/community start-up sheet/final plat to marketing with model, parking, mailbox kiosk marked)
- Manage neighborhood level marketing/FMLS listings/flyer orders
- Updating inventory home spreadsheet
- Ordering supplies for communities
- Ordering signage and Flag replacements for existing communities.
- Work with other departments with updating changes to IFP’s as they occur.
- Other responsibilities as assigned by the V.P. of Sales/ Marketing Manager
Qualifications:
- HS diploma or GED required
- Undergraduate degree preferred, or commensurate experience
Experience:
- 1 – 3 years administrative experience
Skills and Knowledge:
- Ability to multi-task and prioritize several tasks without compromising quality of work or mission deadlines.
- Proven organization skills in a high paced work environment.
- Ability to adapt in a changing workplace.
- Self-motivated and upbeat individual with strong work ethic, time-management, and organizational skills.
- Knowledge of business English and ability to communicate patiently and professionally with both internal and external customers both orally and in writing.
- Computer literacy, proficiency with Outlook, Excel, Word, Power Point and ability to learn new programs as needed.
Typical Physical and Mental Demands:
Must be able to read, write, and speak fluently in English.
