Primary Job Description: The Sample Program & Marketing Coordinator is a critical role responsible for managing the full lifecycle of the sample program and providing administrative support to marketing initiatives. This dynamic position bridges operational excellence and creative collaboration, ensuring seamless delivery of samples and alignment with marketing objectives. The role requires exceptional organizational skills, proactive problem-solving, and the ability to work cross-functionally to meet diverse business needs. Primary Job Duties and Responsibilities:
Sample Program Management:
· Manage the end-to-end process of the sample program, including intake, processing, tracking, and distribution for internal and external stakeholders.
· Prepare, package, ship and track samples (e.g., tubes, jars) to third-party labs, customers, and internal teams, ensuring accuracy and timeliness.
· Maintain a well-organized and accurate inventory database using Airtable or similar software.
· Oversee the intake and storage of batch retains from Contract Manufacturers (CMs), ensuring all supporting documents (e.g., Certificates of Analysis) are properly filed.
· Maintain the cleanliness, organization, and stock levels of the sample lab, including tracking expiration dates and purging materials as needed.
· Manage packaging inventory, build relationships with vendors, and coordinate component orders for sample preparation and marketing events.
· Collaborate with R&D and Sales teams to prioritize sample production and align with project timelines.
· Coordinate shipping logistics, including label creation, courier arrangements, and communication of tracking details.
· Process and route departmental packages to ensure proper distribution.
· Communicate clearly and effectively with both the Business Development Team and the Tech Team to ensure timely delivery of objectives for sample room stock, client needs and marketing initiatives.
Marketing Administrative Support:
· Update and maintain the Sales-Lab-Overview document, tracking sample priorities effectively.
· Oversee marketing material inventory, ensuring readiness for tradeshows, campaigns, and customer events.
· Provide logistical and shipping support for marketing campaigns and events.
· General awareness of market trends and help contribute to the teams’ efforts with new product development and marketing strategies.
Education and Experience
· Bachelor's degree in a scientific or business-related field, or Associates degree in a scientific or business-related field with at least 3 years of relevant experience.
· Familiarity with product development processes or experience in a similar role at a Contract Manufacturer (CM) or brand.
· Proficient in Microsoft Office Suite (Excel, Word) and familiarity with Airtable or other database management tools.
· Experience preparing and packaging samples, creating labels, and working with shipping services (e.g., UPS, FedEx).
· Strong attention to detail with ability to take initiative.
· Knowledge of marketing practices, including trade show logistics and inventory management.
· Critical thinker with strong organizational and problem-solving skills.
· Collaborative and personable with the ability to self-manage and prioritize tasks effectively.
· Comfortable with physical demands, including the ability to lift up to 50 lbs.
Job Type: Full-time
Pay: $50,000.00 - $55,500.00 per year
