The Student Transportation Coordinator will manage the student bus pass program, oversee parking permits, and provide customer service, ensuring effective transportation solutions for the university community.

Job Summary:

About the Position:
This position is a part of our Transportation department within the Facilities Planning and Management Division at UW-Madison. The Student Transportation Coordinator will oversee the University of Wisconsin student bus pass program as well as student parking and moped passes and customer service for student transportation programs.

The student bus pass program was recently transferred from Student Affairs to Transportation Services, thus creating the need for this new position in Transportation Services. The university manages over 30,000 active student bus passes and annual program expenses exceed $3 million. To issue and manage so many passes, the Student Transportation Coordinator recruits, hires, trains, supervises, and schedules a large student labor group of up to 40 students. The coordinator also ensures the prudent financial management of student and employee bus passes for the university, ensuring that passes that are no longer valid are canceled with the transit agency to limit financial exposure to the university and to the Associated Students of Madison segregated fee fund, which funds student bus passes.

The coordinator also oversees applications for student parking and distribution of student moped parking permits, assuring that students who are not able to take other modes are able to freely travel to and from the university.

UW Transportation Services is a department within Facilities Planning and Management (FP&M) on the UW-Madison campus. We serve a variety of customers with a diverse set of parking and transportation needs. Transportation Services is responsible for the coordination and administration of all transportation-related services for the UW campus community. Primary functions include the sale/management of parking permits, special event coordination, maintenance and enforcement, construction coordination, lot and booth operations, citation payments and appeals, information technology, financial, transportation planning, and development of multimodal options.

The Division of Facilities Planning& Management (FP&M) is a full-spectrum service organization that builds, maintains, and operates the physical environment of UW-Madison in the university's education, research, and outreach activities. Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.
  • 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 25% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 15% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 5% Serves on committees and attends meetings, representing the interests of the unit or program
  • 10% Oversees all operational aspects of student bus pass program including recruiting, hiring, training, scheduling, and supervising associated student staff
  • 5% Coordinates student parking and transportation product sales and customer service
  • 5% Oversees activation and cancellation of student and employee bus passes

Tasks:

  • Plans for bulk student bus pass distribution periods including reserving space and coordinating with partner groups.
  • In collaboration with the marketing and communications team, ensures appropriate customer marketing/communications for promotion of student bus pass (and other student transportation products)
  • Monitors and responds to the student bus pass email account
  • Assures appropriate individual customer contacts are completed for passes not picked up, found passes, or other customer issues.
  • Administers pass returns as outlined in bus pass program policy and procedures and coordinates appropriate associated pass cancellations for both student and employee bus passes with Madison Metro
  • Coordinates with permit staff to return to inventory and reallocates pass fare media as appropriate for reuse
  • Assists with potential transition to a virtual student bus pass credential
  • Monitors student bus pass sales and ridership data in collaboration with data analysis staff
  • Attends regular Associated Students of Madison (ASM) Student Transportation Board (STB) meetings and acts as staff to the committee
  • Provides input to supervisor and managers for annual student bus pass budget and assists as needed with presentation to ASM SSFC
  • Processes student parking applications
  • Coordinates student moped parking permit pickup

  • Experience using computers for point of sale software or Microsoft Office Suite (Outlook, Excel, ord, etc)
  • Be able to learn our point-of-sale software, T2 flex

Preferred Qualifications:
  • At least 1 year working in customer service
  • Have the skills and experience to supervise student employees
  • Experience leading individuals, teams, or committees and/or delegating responsibilities to others
  • Cash handling or cash register experience
  • Ability to work independently
  • Prior experience providing program progress reports

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $55,000 ANNUAL (12 months)
Depending on Qualifications
The minimum rate for this position is $55,000 but is negotiable based on experience and qualifications.
