SHORT DESCRIPTION
Seeking an adaptable Executive Assistant for J.P. Morgan's Corporate Tax team to perform various administrative functions while ensuring confidentiality, delivering high-quality work, and supporting executive leadership.
You will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive, their team of managers, and other stakeholders. You bring years of experience being an Executive Assistant while being very adaptable, and welcoming change.
Job Summary:
As an Executive Assistant in our Corporate Tax team, you should have excellent interpersonal skills, attention to detail, strong communication skills, possess a “can-do” attitude, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen and deliver flawless work output.
Job Responsibilities:
- Manage and handle complex, busy and ever changing calendars, dealing with multiples and or urgent meeting conflicts, setting up of meetings and conference calls, internally and externally. Handle all associated logistical aspects
- Create your own relationships with other Executive Assistants across the organization to ensure the people you support are able to get meetings at short notice when the issue is appropriately urgent.
- Work in a fast paced, ever changing environment and to effectively handle multiple priorities with a calm, professional and willing attitude
- Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
- Coordinate travel arrangements (air, hotel accommodations and ground transportation); prepare detailed itineraries, required travel visas/documents, and assure accuracy and timely delivery of plans/tickets to travelers
- Process invoices and travel & expense claims for team members in a timely fashion.
- Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures
- Assist with data input, spreadsheet management and presentation preparation
- Assist with overflow, special projects, assistant back-up coverage and day-to-day tasks
- Depending on your skillsets, you will also have the opportunity to take on non-administrative responsibilities
Required Qualifications, Capabilities and Skills:
- Minimum of 5 years’ experience in an Executive Assistant role in a professional or financial services environment
- Strong inter-personal and partnership skills, i.e. develop relationships with peers, stakeholders, etc.
- Open to take on increased and/or new responsibilities at any time
- Tact and good judgment in highly confidential situations and proven experience interacting with senior management
- Ability to adapt procedures, processes and techniques to the completion of assignments
- Experience in calendar management
- Excellent telephone etiquette
- Strong execution experience with a demonstrated ability to meet and enforce deadlines
- Strong communication (both written and verbal) skills, effective relationship building skills with the ability to listen well and influence others, attention to detail and positive / proactive attitude
